Collect deposits first, then pick the hotel. Groups that debate destinations for six weeks lose half the crew to "I'll see." Groups that set a deadline, collect deposits from everyone, and then argue about Cabo vs Cancun actually go on the trip. Be the second kind.
You got tagged as the leader. Here's how to do it without hating your friends by December.
Step 1: Set a deposit deadline this week
Not a destination. A deadline. "Deposits in by Sunday or you're not on the block." A deposit is small next to the trip price, but big enough that people who pay it show up. Once the money is in, the group is real, and real groups make decisions fast.
Announce the deadline in the group chat and then DM the three people you know will ignore it. Group messages are where plans go to die.
Step 2: Offer two destinations, not five
Pick the two that fit your group's budget and passport situation (our five-destination comparison helps) and run a 24-hour poll. Five options produce a five-way tie. Two options produce a trip.
Step 3: Split rooms by budget, not by friendship
Rooms are priced by occupancy, so the more people in a room, the lower the price per person. A room of four is usually the cheapest way to go, three costs each person more, and two costs more again. Same hotel, same week, different math.
Put the price for the fullest room in the chat first. Let people upgrade themselves, and don't let one person's double set the price for everyone.
Sign up five people for a four-person room's worth of interest. Someone always drops, and you'll still have a full room instead of a triple that costs everyone more.
Step 4: One chat, one spreadsheet, one point of contact
- One group chat for the trip only. Mute the main friend chat if you have to.
- One spreadsheet with name, room, deposit paid, payments made, passport status and flight booked. Share it read-only.
- One point of contact with us: you. Your Spring Break U trip rep answers your questions, and everyone books and pays their own share, so you're organizing people, not money.
Step 5: Send this text
Copy it, paste it, edit the details:
Spring break is happening. Cancun or Punta Cana, first two weeks of March. Trips start around $699 a person, food and drinks at the resort included. The $100 deposit holds your spot and you pay the rest month to month. Deposits due by Sunday. Book here: springbreaku.com. If you're in, pay the deposit. If you're not, no hard feelings, but the block closes.
And the parent version, for anyone who needs it:
Hi, we're booking spring break through Spring Break U. Trips are powered and operated by Go Blue Tours, a licensed travel company (ARC and IATAN accredited) in Middleton, MA. They have on-site staff all week, and the price is confirmed in writing before any deposit. Here's the site: springbreaku.com.
What you get for being the leader
- A trip rep who answers your questions.
- A shared booking link, so everyone books and pays their own share.
- A free trip at 15. When your group hits 15 travelers, the 15th trip is free, or the discount can be spread across the group. Details on the Travel Free page.
If your group is big, ask about becoming a campus rep. It's the same work you're already doing, but it pays. Read how it works.
Final Thoughts
Being the group leader is 90% deadlines and 10% Google Sheets. Collect deposits this week, give people two choices, fill the rooms, and let your trip rep handle the rest. In March you'll be the person everyone thanks at the pool.
